The following workflow description in bullet point form shows you how the FRM II works. Below, you will find a checklist which can be used to process systematically.
Start
Registration for a user account at FRM II
Submitting a proposal via the module "Proposal" (be aware of the deadlines!) after contacting the instrument responsible (instruments and their contacts are available on "Science")
Notification of the approved beam time via email after the peer review of the international referee committee
Discussion with the instrument responsible about the "when" of the experiment
- Invitation via email with the detailed data and information about the access to FRM II
Once you received your invitation via email
Announcement of the visit with all necessary information via the module "Arrival_Departure". There is the possibility to ask for financial support and/ or the reservation of a hotelroom and for example the booking of a bike.
As appropriate: Notification of your co-experimentalists by you - they have to go through the same procedures!
German user (= you are working on a German institution)
As appropiate: Application for a "Strahlenpass" at your home institution (in case you haven't already got one)

In case you need access to the experimental hall: Complete the declaration form for the Nuclear Reliability Check. In case you lived outside Germany during the last ten years, please provide us with a certificate of good conduct from the authorities of the country in question (in english or german). Send the form together with a copy of your passport (and the certifcate/s from the foreign authorities) to the FRM II Security in advance.
For your information: According to the legal requirements in Germany for nuclear facilities a Nuclear Reliability Check must be performed for all users requiring access to the Experimental Hall at FRM II. This check is not necessary for working only in the Neutron Guide Hall of FRM II. In case you don't know where your instrument is located just have a look at the floorplans.
Using your prepared documents, the FRM II authorities will take care of the procedure then, which will take three months. They will contact you in case further documents are required. Independent of the status of your Nuclear Reliability Check you will have access to your experiment all the time, but you will be checked by the security each time entering the experimental hall of FRM II.
Foreign user (= you are working outside of Germany):
Completion of the request of the FRM II radiation protection and obtaining a written dose history

On the eve of your journey to FRM II
Pack your bags and don't forget: :
German user:
"Strahlenpass" and dosimeter (neutrons + gammas!)
a valid "Personalausweis" or "Reisepass"
Foreign user:
Request of the FRM II radiation protection and written dose history
- a valid passport/ ID-card (unfortunately, driving licenses aren't accepted!)
On arrival at FRM II
- Get in touch with the reception desk at the gate of the FRM II, where you will get your badge, receive further information and meet your local contact
Visit the stations indicated on the issued process slip, get the signatures and countersign
On your departure from FRM II
- Hand over of the signed process slip and badge at the reception desk of the FRM II
At home again
- If you are supported by the EU via NMI3:
- Send the claim for travel expenses with all necessary receipts and the user data form to the User Office within the next 5 months
- Submit the EU-report via your user account, module "EU-Report NMI3"
- If you are supported as a member of a German university:
- Send the claim for travel expenses with all necessary receipts to the User Office within the next 5 months

- Submit the experimental report within the next 2 months via your user account, module "Submit Exp-Report"
- Notify the instrument responsible of every publication of the results you achieve at the FRM II!
- Please don't forget to put the instrument scientist as a co-author on every publication!
